Mobile Glamping Tent Rental FAQs
About mobile glamping
What is mobile glamping?
Happy Yarvi is not a permanent glamping resort. Instead, we bring furnished and styled large canvas bell tents to a location of your choice, wether it’s your backyard, a reserved campsite or a public or private venue.
How does a Happy Yarvi glamping rental work?
Customer chooses the occasion and location, requests a quote, selects the setup, signs the agreement and pays the deposit. Happy Yarvi delivers, installs, furnishes and removes everything.
Do you provide the location, or do I need to find one?
We don’t have our own locations, we bring glamping to you! You can use your own backyard, another private property or a venue/public space that you have permission to use. We can also recommend a venue based on our experience, previous setups and connections.
What kinds of occasions can Happy Yarvi accommodate?
If you can dream it, we can almost certainly make it happen. We have created mobile glamping experiences for sleepovers, birthdays, weddings, reunions, staycations, retreats, festivals, fundraisers, corporate events, as well as custom installations.
Tents, furnishings and capacity
What is included with a Happy Yarvi glamping tent rental?
The inclusions vary by experiences. Please see our signature experiences to learn what’s included. We are also happy to create a custom experience for your specific occasion.
How many people can each Happy Yarvi tent accommodate?
Our 16 ft bell tents can sleep up to 6 kids on twin beds or up to 4 adults on two queen beds, or a combination. For best comfort, we recommend 4 to 5 twin beds or 1 queen bed per tent. The day-use tent can comfortably accommodate 6 to 8 people at a time.
Can I rent more than one tent?
Yes! We are happy to setup from one tent to the maximum available inventory. We can currently accommodate up to 10 tents, as we expand our tent and furnishing inventory. We specialize in setting up glamping villages, multi-tent bookings and larger event installations.
Can you customize the furnishings and decorations?
Yes! Our standard pricing includes furnishings and decor in our signature experiences. For an additional fee, we are happy to create custom themes and stylings. We source our own furniture and decor and generally do not allow customers to use their own.
What should guests bring?
Our sleepover experiences include bedding, comforters and blankets. However, we recommend bringing appropriate clothing, extra layers, personal toiletries, and venue-specific supplies.
Location and site requirements
How much space is required for each tent?
Our 16 ft tents are held up by guy-lines that stretch 2 to 3 feet away from the tent to the stakes in the ground, around its perimeter. Therefore, we need a diameter of 25 ft of level surface to set up each tent. As an elementary math refresher to myself: “a diameter is a straight line that goes from one side of a circle, through its center, to the other side”.
Does the tent have to be set up on grass?
Grass is preferred, as the tents are designed to be set up with stakes in the ground. We can also set up our tents on pavement, concrete or artificial turf without stakes. The setup without stakes requires weights and additional labor at an additional charge.
Can the tents be installed indoors?
Yes, we can set up our tents indoors. Our 16 ft tents need a diameter of 25 ft of floor space and a clearance of 15 ft. The setup without stakes indoors requires weights and additional labor at an additional charge.
What site access is required for delivery and setup?
We need convenient access from our delivery vehicle to the setup area. Please let us know in advance about narrow gates, stairs, steep slopes, soft or uneven ground, limited parking, or any significant distance between parking and the site. Because our tents, furnishings and equipment are large and heavy, difficult access may require additional crew, equipment or delivery fees. Please confirm the site’s suitability and access requirements before your booking is finalized.
Before we arrive, please make sure that the closest parking area, such as the driveway, is cleared for us, and there is ample room on both sides of the parking area for unloading and staging. We will use carts to move our equipment from the vehicle to the setup area, so need an even pathway, free of hoses and other obstacles.
What do I need to know about underground utilities and irrigation?
Our tents are normally secured with stakes. Before setup, the customer is responsible for informing us about underground electrical lines, gas lines, water pipes, septic systems, drainage, irrigation and invisible pet fences at the setup area. Public utility marking does not necessarily identify privately installed lines or sprinkler systems, so the property owner must disclose those separately. If necessary, an official utility locate must be completed before installation.
Do the tents require electricity or water?
The tents themselves do not require water or a household electrical connection. We include a portable power bank to power string lights and small fans, and to charge phones. Our power banks cannot run heaters, portable air conditioners or appliances. Those need to be plugged into an outlet. Bathrooms, showers and running water are separate venue considerations.
When will you set up and remove the tent?
We set up a single tent typically by 3 pm and come on the teardown date at 11 am to remove the tent . A single fully furnished tent generally requires three hours to install and style, although difficult access, weather and custom décor will extend the setup time. Multiple tents will require a longer setup time based on the number of tents requested and the location. We will confirm delivery and removal times with you during the booking process. The setup area must be completely clear and accessible when our crew arrives.
Weather and comfort
What happens if rain or severe weather is forecast?
Ordinary Pacific Northwest rain or wind does not automatically prevent setup. Our tents are designed for the outdoors and will withstand moderate rain and wind. However, high winds, lightning, flooding, snow, falling branches, wildfire conditions or unsafe road and site access may make installation or continued use unsafe. Happy Yarvi reserves the right to postpone, modify or remove a setup when conditions present a safety risk. Any rescheduling or cancellation options will follow the terms of your booking agreement.
Are the tents waterproof?
Our canvas bell tents are designed for outdoor use and provide reliable protection in normal rainy conditions when properly installed. Rain flies may also be used when appropriate. Like any canvas structure, however, a glamping tent is not a permanent building, and no outdoor tent can be guaranteed against every storm, flood or wind-driven weather condition.
What kinds of beds do you provide?
All our mattresses are very comfortable, high-quality memory foam. We don’t use inflatable mattresses! Twin beds are foam mattresses with bedding that we put on the ground mat. Queen beds are foam mattresses with bedding that we put on a bed frame.
Can the tents be heated or cooled?
Fans and heaters are available upon request for suitable setups. Our heaters cannot be plugged into a portable power bank. They require a permanent outlet within reach of the tent. We can provide extension cords up to 100 ft long designed to power our heaters. For safety, customers may not bring their own fans, heaters or air conditioners, or other heating or cooling devices into our tents. The tent’s windows and doors can also be opened for ventilation during warm weather. Canvas tents are not insulated or climate-controlled like hotel rooms, so indoor temperatures will still be largely affected by outside conditions. We will confirm power access and whether heating or cooling is appropriate for your location and season.
Are bathrooms and showers included?
Bathrooms and showers are not built into our tents and are not included with a standard rental. For backyard setups, guests normally use the residence’s facilities. Campgrounds and venues may provide shared facilities, and we can suggest portable restroom or shower providers for remote or off-grid events.
Are cooking, candles, fires or smoking permitted inside the tents?
This is a big no! No smoking, vaping, candles, cooking appliances or open flames are permitted inside or near the tents. Only heating or cooling equipment supplied by Happy Yarvi may be used. These restrictions protect our guests, canvas tents, bedding and furnishings from fire, smoke and permanent damage. Any smoke or fire damage will be charged to the customer.
Are pets allowed inside the tents?
No pets are allowed in or around our tents. Please be especially careful that your dog does not urinate on the outside of our tent or an outside cat doesn’t use our tent as a scratching pad. A cleaning or damage fee between $250 and $500 may be charged for pet damage or cleanup.
Pricing and reservations
How much does a Happy Yarvi experience cost?
Pricing depends on the selected experience, number of tents, number of nights, location and sleeping configuration. Custom styling, additional beds, difficult access, hard-surface anchoring and specialty equipment can also affect the total. Current starting prices are shown on our experience pages, and larger or customized installations are quoted individually.
What areas do you serve?
Happy Yarvi is based in Tacoma, Washington and provides mobile glamping experiences throughout Washington, Oregon and Idaho. Our core service area includes much of the greater Seattle, Kitsap Peninsula, Tacoma and Olympia region. We are happy to travel farther for events, retreats and multi-tent installations.
Are delivery, setup and removal included?
White-glove delivery, installation and takedown are included in our price. Locations farther away or bookings involving ferries, overnight travel, difficult access, hard-surface anchoring or other complex logistics may require an additional fee. Any applicable delivery or logistics charges will be included in your quote before you book.
How far in advance should I reserve?
Please reserve at least three weeks in advance. We recommend booking considerably earlier for summer weekends, holidays, weddings, custom designs and multi-tent events because availability can be limited. We might also be able to accommodate last-minute bookings based on the inventory and crew availability. Your date is not confirmed until the booking agreement is signed and the deposit is paid.
Do you require a deposit?
Yes. A non-refundable 35% booking deposit is required to reserve your date. Your reservation is confirmed after the required agreement and deposit have been received. The remaining balance and payment deadline will be stated in your quote and booking agreement.
What is your cancellation and rescheduling policy?
Cancellation and rescheduling terms are included in the booking agreement provided before payment. The terms may differ for signature experiences, custom orders and large installations because Happy Yarvi begins reserving inventory, scheduling staff and purchasing materials in advance. Weather-related concerns do not automatically qualify for cancellation unless conditions make setup unsafe.
Do you offer multi-night rentals?
Yes. Our overnight experiences can be reserved for multiple nights, and longer rentals may receive custom pricing. From October 15 through March 15, overnight rentals require a minimum two-night stay. Extended and seasonal installations are also available by custom quote.
Is a damage or security deposit required?
A refundable security deposit may be required depending on the size, location and nature of the booking. Any required amount will be clearly stated before you reserve. The renter remains responsible for loss, excessive cleaning and damage to the tents, furnishings or equipment beyond ordinary wear.
Is event insurance required?
Event insurance is strongly recommended and may be required for weddings, public events, commercial installations, multi-tent bookings or setups at certain venues. Many venues require their own proof of liability insurance. We will tell you before booking if Happy Yarvi requires coverage for your installation, but you should also confirm the venue’s requirements directly.
